Terms of Service

These Terms of Service (“Terms”) govern your use of the FeePilot platform operated by FeePilot Ltd. Please read them carefully before using our service.
1. Acceptance of Terms
By creating an account or using FeePilot, you agree to be bound by these Terms of Service and our Privacy Policy. If you are accepting on behalf of a school or organisation, you represent that you have the authority to bind that entity to these terms.
2. Use of the Platform
FeePilot grants you a limited, non-exclusive, non-transferable licence to access and use the platform for your school's internal fee management purposes. You may not sublicense, resell, or commercially exploit the platform. You are responsible for all activity that occurs under your account.
3. Account Registration
You must provide accurate and complete information when creating an account. You are responsible for maintaining the security of your credentials and must notify us immediately at hello@feepilot.io if you suspect unauthorized access to your account.
4. Data Responsibility
You retain ownership of the data you input into FeePilot, including student records and payment information. You are responsible for ensuring you have the appropriate consent and legal basis to process personal data belonging to students, guardians, and staff in accordance with applicable data protection laws.
5. Subscription and Billing
Paid plans are billed in advance on a monthly or annual basis. Subscriptions auto-renew unless cancelled before the renewal date. Refunds for unused portions of a billing period are issued at our discretion. We reserve the right to change pricing with 30 days' prior notice.
6. Acceptable Use
You agree not to use FeePilot for any unlawful purpose, to harass or harm others, to upload malicious code, to attempt to gain unauthorized access to any part of the platform, or to interfere with the proper operation of the service.
7. Availability and Uptime
We strive to maintain high availability of the FeePilot platform. However, we do not guarantee uninterrupted access and may perform scheduled maintenance with advance notice. We are not liable for any loss resulting from temporary unavailability.
8. Limitation of Liability
To the maximum extent permitted by law, FeePilot shall not be liable for indirect, incidental, special, or consequential damages arising from your use of the platform. Our total liability to you for any claim shall not exceed the amount you paid to FeePilot in the three months preceding the claim.
9. Termination
Either party may terminate these terms at any time. Upon termination, your right to use the platform ceases immediately. You may request an export of your data within 30 days of termination. After 30 days, we may delete your data in accordance with our data retention policies.
10. Governing Law
These terms are governed by the laws of the Republic of Ghana. Any disputes shall be subject to the exclusive jurisdiction of the courts of Ghana. If any provision of these terms is found to be unenforceable, the remaining provisions will continue in full force.
11. Changes to These Terms
We may update these terms from time to time. We will notify account holders of material changes via email. Continued use of FeePilot after changes take effect constitutes your acceptance of the updated terms.
